What does the Pivotal Graph Connector sync?
The Graph Connector is a background synchronization service that runs continuously and keeps Microsoft 365 and Pivotal CRM in step. It covers the three data types your team touches every day:
Email sync. Customer correspondence synced into the CRM so the full communication history is visible to anyone who works the account, not just the person who sent the message. When a rep emails Company ABC about a renewal, that email appears on the account timeline automatically. No manual logging. No copying and pasting.
Calendar and appointment sync. Calendar events flow between Outlook and Pivotal CRM, so meetings with customers are logged automatically and visible in the activity timeline. Your manager can see that three meetings happened with Company ABC this month without asking the rep to write them up.
Task sync. Follow-ups and to-dos created in either system stay consistent in both. A task created in Pivotal shows up in Outlook. A task completed in Outlook is marked complete in the CRM. Nothing falls through the gap between the two.
Built on Microsoft Graph API for long-term compatibility
Microsoft is investing in the Graph API as the foundation for all cloud communication workloads. The Pivotal Graph Connector is built entirely on that platform, putting your integration on the modern, supported path that Microsoft recommends and actively develops.
The connector authenticates at the tenant level through a standard Microsoft Entra (Azure AD) app registration. One registration, admin-consented once, covers every enabled mailbox in your organization. No per-user passwords to manage.
Your CRM permissions control which mailboxes sync
The connector synchronizes only the mailboxes of users who are explicitly enabled for sync in Pivotal CRM. Your administrators choose which users participate, and the connector respects that boundary. There is no blanket sweep of every mailbox in your tenant.
Data flows through Pivotal’s existing interfaces and business logic. The connector does not write directly to the CRM database or bypass your application-layer rules. Record ownership, field-level security, and Toolkit customizations all apply to synced data exactly as they do for data entered through the Pivotal UX or SmartClient.
On-premises Exchange customers
If your organization runs on-premises Exchange rather than Exchange Online, the legacy connector (PIMO) remains fully supported. The Graph Connector is specifically for Microsoft 365 (Exchange Online) environments. The two serve different infrastructure configurations and can coexist.
